Scope of Guarantee

If a patient schedules and pays for a procedure (such as a colonoscopy) but the procedure does not take place, ColonoscopyAssist will issue a full refund of the payment made subject to the exclusions below.

If a provider cancels an appointment and does not deliver the scheduled service, ColonoscopyAssist will issue a full refund of the payment made subject to the exclusions below.

Exclusions

This guarantee does not apply when a patient cancels or fails to attend an appointment. In those cases, the Cancellation and Refund Policy applies.

Once a service has been rendered, payments are non-refundable, even if the patient is dissatisfied with the outcome, bedside manner, wait times, or experiences medical complications (see Item 6 of the Refund Policy).

How to Request a Refund
Patients who believe they are eligible under this guarantee must contact ColonoscopyAssist at (855) 542-6566 or by replying to their appointment confirmation email. Refunds will be processed promptly to the original form of payment. -

Impact of Cancellations and No-Shows
Appointment cancellations and no-shows place significant strain on our relationships with participating providers. Because colonoscopy preparation takes four (4) days, cancellations made with less than four business days’ notice leave providers unable to fill the appointment slot, which often results in providers leaving the program.At ColonoscopyAssist, our goal is to lower the cost of healthcare—not to profit from services that were never rendered. We believe charging patients for missed or canceled appointments goes against that principle. However, this policy is necessary to discourage last-minute cancellations, which directly harm both providers and other patients waiting for appointments. We strongly encourage patients: please do not cancel at the last minute.

Provider-Specific Policies
Each provider in our program may establish their own cancellation policy, provided it is applied fairly and consistently to all patients. Providers may charge patients a separate fee for late cancellations or missed appointments, in addition to ColonoscopyAssist’s policy. -
Consultations

Cancellations made by 12:00 PM (CST), at least two (2) business days before the scheduled consultation will receive a 100% refund of payments made to ColonoscopyAssist.

No-shows or cancellations made after the deadline will incur a 15% cancellation fee.

Insurance Claims
This section is for situations where patients gain insurance coverage that will cover appointments retroactively. If a patient would like to switch their payment method to their insurance from self-pay and provides insurance information to the provider and an insurance claim is filed, ColonoscopyAssist will refund the patient’s payment less 15%. The patient will then be responsible for any deductibles, co-pays, and co-insurance required under their insurance plan. -
Completed Appointments
Payment to ColonoscopyAssist is specifically for the medical service itself. As with all healthcare services, there is no implied warranty on outcomes. Complications, although rare, are an inherent part of medical care, and no refunds will be issued for:

dissatisfaction with bedside manner,

unusually long wait times,

unsatisfactory results or outcomes, or
-
medical complications.
Except as noted in Item 5, once an appointment has been completed, payments made to ColonoscopyAssist are non-refundable.

Our Abandoned Appointment Policy
ColonoscopyAssist Abandoned Appointment Fee Policy
Definition of Abandoned Appointment
An abandoned appointment occurs when ColonoscopyAssist schedules an appointment on behalf of a patient, but the patient:
- Does not confirm the appointment by making the required payment by the stated deadline, and
- Does not contact ColonoscopyAssist to cancel or reschedule the appointment.
- Does not respond to outreaches from ColonoscopyAssist to resolve the matter.
In these cases, the patient is considered unreachable and the appointment is treated as abandoned.
Impact on Providers and the Program
Abandoned appointments negatively affect our relationships with participating providers and reduce the availability of discounted appointments for other patients in need. To protect the integrity of the program and discourage avoidable no-shows, an abandoned appointment fee will be assessed.
Fee Amount
- A $25 Abandoned Appointment Fee will be applied to the patient’s account when an appointment is abandoned.
- This fee must be paid before ColonoscopyAssist will schedule any future appointments for the patient.
How to Avoid the Fee
- Patients can avoid this fee simply by either:
- Confirming their appointment with payment by the deadline provided, or
- Contacting ColonoscopyAssist to cancel or reschedule the appointment before the payment deadline.
Agreement to Terms
By using ColonoscopyAssist services, patients acknowledge and agree that abandoned appointments may result in a $25 fee, which must be cleared prior to scheduling additional appointments.
ColonoscopyAssist Payment Terms Policy
Pre-Payment Requirement
- All services provided through ColonoscopyAssist must be paid in full prior to scheduling.
- Payment secures the patient’s appointment and ensures access to the discounted rates available through our program.
- Appointments cannot be confirmed until full payment has been received.
Outstanding Balances
- If, for any reason, a balance remains after services have been rendered (for example, due to provider billing adjustments, insurance claims, or other factors), the patient will be notified of the outstanding amount.
- Payment of outstanding balances is due within 15 calendar days of notification.
Collection of Balances
- If balances are not paid within the required timeframe, ColonoscopyAssist reserves the right to:
- Send reminder notices by phone, email, or mail.
- Assess late fees and interest (see Item 4 below).
- Suspend future scheduling privileges until the balance is cleared.
- Refer the account to a professional collections agency if the balance remains unpaid beyond 30 days.
Late Fees and Interest
- A flat late fee of $25 will be applied to any outstanding balance not paid within 15 calendar days of due date.
- In addition, a 1% interest charge per month (or the maximum amount permitted by law, if lower) will be added to any unpaid balance until it is paid in full.
Chargeback Policy
- Chargebacks are costly to the program and reduce our ability to keep healthcare affordable. They should not be used as a method to obtain a refund.
- ColonoscopyAssist offers a simple, straightforward refund process: patients may request a refund at any time by emailing [email protected], and refunds are promptly issued in accordance with our Refund and Cancellation Policy.
- Chargebacks initiated without first submitting a refund request will incur a $25 administrative fee, which will be added to the outstanding balance.
Forms of Payment
ColonoscopyAssist accepts payments via:
- Credit cards and debit cards
- Health Savings Account (HSA) and Flexible Spending Account (FSA) cards
- CareCredit (for healthcare financing)
- ZipPay (for installment payments after the procedure)
- Payment must be made in U.S. dollars.
Non-Refundable Portions
- Payments are subject to the Refund and Cancellation Policies outlined separately.
- Except as specified under those policies, all payments made to ColonoscopyAssist are non-refundable once the service has been completed.
Agreement to Terms
- By submitting payment, patients acknowledge and agree to these terms.
- Failure to comply with payment obligations may result in late fees, interest charges, chargeback fees, collections activity, and loss of access to ColonoscopyAssist services.
